BOOKING CANCELLATION & REFUND POLICY
ACTIVITY OR RENTAL PRICE
Stated prices include use of all necessary equipment and applicable personal safety gear. Activities also include guide(s), use fees, permits, and food (if stated in activity description). Gratuity (tip) for Woods & Waters guide(s) are not part of the activity price.
Quoted costs represent a complete package price; itemized individual costs are not available.
RESERVATIONS AND PAYMENTS

"Booking" refers to monies paid to Woods & Waters.

Rentals booked more than 2 days out require a 50% deposit with balances auto-collected the day of the rental. If booked less than 2 days prior, full payment is required at time of booking.

Activities more than 1 day out require a 50% deposit with balances auto-collected the day of the activity. For Perfect Days / Perfect Overnights / WOW! Trips and/or custom group trips the balance is auto-collected 7 days prior (unless otherwise stated by management). For trips requiring remaining balances be paid 7 days prior, if booked within 7 days of the activity, full payment is required at time of booking. WOW! lodging is charged a 25% deposit; lodging balances subject to same conditions as WOW! activity auto collect above.

Payments may be made by cash or credit card; payment by check is welcomed on advanced bookings that are at least 30 days in the future.

Prices are all-inclusive — any booking and processing costs are built into the listed price, with no separate fee added at checkout. Rentals are subject to 6% Michigan sales tax, collected at time of booking.
WEATHER CANCELLATIONS AND REFUNDS
You don't pay if it's not safe to play.
We want you to have an awesome experience and we do our best to plan or recommend routes that are expected to take advantage of any given day's forecasted weather, wind, or wave conditions. Occasionally, there may be predicted risky conditions, such as thunderstorms or small craft advisories, and we will not run tours or allow hourly rentals during these active weather events.
If risky weather is expected during your scheduled trip or rental, we'll contact you and first try to reschedule. A simple time change often does the trick. If rescheduling isn't possible, we'll fully refund your trip or rental.
Exceptions:

Multi-day equipment rentals aren't refunded for weather — the gear is yours for the rental period, to use whenever the conditions outlined in the waiver are suitable.

If your reservation includes pre-planned and prepped food (like a Perfect Picnic Day), a weather refund is minus food and catering costs — as our chef shops and preps ahead. If your food has already been delivered to us, we'll let you know so you can pick it up if you'd like. For a Sunset Paddle, the dessert cost is small enough that we'll simply refund you in full — and if it's already made, you're welcome to pick it up.

Perfect Overnight: Overnight island camping carries real weather exposure, and we talk through that with you when you book. As your dates approach, we watch the forecast closely and stay in touch. If a multi-day forecast is genuinely un-runnable — several consecutive days of small craft advisories, for example — we would cancel, in which case the trip is refunded minus food and catering costs (if applicable), with any prepped food possibly available for pickup.

WOW! trips: Because WOW! is lodging-based with both on- and off-water options, weather rarely disrupts it — there's almost always a good place to paddle, and when there isn't, we shift to hiking, land-based activities, or downtime. WOW! activities aren't refunded for weather; we adjust the days to suit the conditions.
PARTICIPANT OR RENTAL CANCELLATIONS AND REFUNDS (IF YOU CANCEL)
Participant or rental cancellations must be made by phone, email, or in person.

For 2- to 4-hour activities and any rental reservations: cancellations more than 14 days out are refundable minus a 5% fee; from 14 days to 2 days out, refundable minus a 10% fee (not including any sales tax). Our 50% deposit helps keep your overall cancellation fee low.

For 2- to 4-hour long activities or any rental reservations less than 2 days away, the booking is non-refundable.

We do not make exceptions to the cancellation policy for any reason, including personal emergencies or inclement (but safe) weather (trips run rain or shine). (see Transfers)

There is no refund for arriving late and missing your scheduled time slot (including a trip having already departed or equipment subsequently being rented out after failing to show), participants choosing to be done early, or ending early due to changing weather conditions. If participants can be accommodated at a later time, we will make a good faith effort to do so. For the purposes of this policy, a no-show is defined as any participant who has not arrived or made contact with Woods & Waters within 30 minutes of their scheduled start time. No-shows are treated as non-refundable cancellations.

If the number of participants in a booking decreases after the reservation is made, the cancellation policy applicable to that trip or rental type governs any refund or fee for the dropped participants, calculated at the per-person rate at the original group size. For custom group trips, adjustments to group size are at the discretion of Woods & Waters. If a reservation includes planned meals and the group size decreases within the same timeframe that would otherwise trigger a cancellation fee, food costs for the original party size will be charged as incurred.

Perfect Picnic Day, 1-day custom group trips, Perfect Overnight, or multi-day custom group trips canceled more than 14 days out, the cancellation fee equals 10% of booking; between 14 and 8 days prior, the cancellation fee equals 25% of booking; if canceled 7 or less days out, the booking is non-refundable.

For WOW! trips more than 45 days out, the cancellation fee equals 15% of booking; between 45 and 30 days prior, the cancellation fee equals 25% of booking; if between 29 and 8 days prior, the cancellation fee equals 50% of booking; if canceled 7 or less days out, the trip is non-refundable; if canceling less than 45 days out and we can fill your spot, the cancellation fee will only be 15% (cancellations made less than 45 days out may have to wait until the start of their scheduled WOW! for a refund to be issued). Accommodation costs (if booked through us) will be included in the calculation of the cancellation fee.
IF WOODS & WATERS ENCOUNTERS AN ISSUE LESS THAN 24-HOURS PRIOR (IF WE CANCEL)
If something happens on our end, such as last-minute staffing or equipment problems, we will contact you to discuss options, such as rescheduling or alternate available equipment, before canceling your reservation. If rescheduling isn't possible or suitable rental equipment available, we will fully refund your trip or rental.
Exceptions: If your reservation includes pre-planned and prepped food, we'll still make it right. Situations like this are rare and usually serious on our end, so we'll refund your trip in full — food and catering included — and won't pass those costs to you. Depending on timing, your planned food may be available for pickup — we'll let you know.

TRANSFERS

For all reservations, if spots or resources are available for a different activity or rental within the same season, you may transfer between them. If others have already reserved equipment, sold out activities, or staff are unavailable for your alternate date or time, you may need to seek out additional alternative dates or times.

If moving a reservation to a different season from the one originally scheduled, you may be required to pay additional costs. (At the discretion of Woods & Waters)

Transfer requests must be made at least 2 days in advance for all half-day activities and rentals, at least 7 days in advance for by-request, full-day trips, and/or full-day and multi-day rentals, and at least 30 days in advance for WOW! trips. Transfer requests made outside these windows are subject to the cancellation policy applicable to that trip or rental type.
PARTICIPANT & VENDOR RESPONSIBILITIES

You are ultimately responsible for determining your fitness ability for any activity or use of rental equipment. By paying for an activity or rental and signing the waiver and acknowledgment of risk form, the participant certifies that they do not have any physical or other condition that would create a hazard for themselves or other participants. It is essential that any participant with a medical condition requiring regular treatment or which may be affected by vigorous exertion, heat, cold, other natural phenomenon, or particular foods, notifies Woods & Waters and/or the trip guide(s), in advance of their scheduled event. Woods & Waters assumes no liability for medical care or for special dietary requirements. The judgment of Woods & Waters, or its guides, shall make the ultimate determination of an individual participant's fitness to embark upon, or to continue, an activity or rental.

Under most circumstances, if you are of an adventurous spirit and in reasonably good health, you should have no problem enjoying a Woods & Waters activity.

People with medical conditions, including pregnancy, or physiological restrictions should attain a physician's approval before undertaking new physical activity.

Woods & Waters reserves the right to deny or exclude participation, at any time, to any person or group for any reason we feel is related to the risk management of our activities or use of our rental equipment, or if any person or group is deemed unsuitable for the rigors of their chosen activity or use of our rental equipment.

There is inherent risk in any activity. Kayaks do capsize and bikes can hit things. During guided activities, guide(s) will evaluate the situation and assist — barring any risk of endangerment to themselves or others — within their skill set. Either during a guided activity or when renting equipment, if you are not strong and agile enough to "self-help" without further endangering yourself or others, realize you are assuming additional personal risk.
Some of what we offer asks something of your body. If you're planning to actively participate — paddling your own boat, taking the lead in a tandem, pedaling, hiking — we ask that you're able to take part as the activity intends and to self-help if needed. Along-for-the-ride is welcome too: a young child in a tandem, or an adult being paddled by a strong partner, doesn't need to actively participate. If you're unsure where you fall, reach out and we'll sort it out together.

Our equipment has size and weight limits, and they come from the gear itself — PFD sizing, cockpit and seat dimensions, bicycle frame dimensions, and the manufacturer's ratings for our boats and bikes — not from us.
Fit is about more than weight: height, leg room, foot size, and overall dimensions all matter, especially in a sit-in kayak where you need to get in, get out, and be comfortable for hours. We genuinely want to get everyone on the water or on a bike, and in some cases we have alternate gear that can accommodate a wider range of paddlers or riders when conditions allow — it may paddle or ride a little differently than our standard fleet, but it gets you out there.
​​​​​​​That said, every piece of gear has a limit. For kayaking, we reserve the right not to accept or rent to passengers with a waist or chest measurement over 56 inches, or when a paddler's dimensions exceed what a boat can accommodate. Bikes and other equipment carry their own manufacturer weight and size limits, and we reserve the right not to rent when those limits are exceeded. Even within the manufacturer's ratings — and in our experience with past participants — comfort and usability aren't guaranteed at the limits, so if you're close, or have any questions, reach out before booking and we'll talk it through honestly.

Upon booking an activity, each participant is required to fill out a questionnaire that is used to identify possible risks and challenges (such as swimming ability, fitness level, limitations, and food allergies) that may inhibit your ability to enjoy your activity. We are not medical professionals, but we are aware of what we can expect to manage in a remote setting.

Once a participant's activity questionnaire has been answered, reviewed, and followed up on if needed, medical conditions or physiological restrictions will not be considered as exceptions to our cancellation policy.

If upon arrival — or at any time during the activity or rental period — a participant is found to have misled Woods & Waters regarding their physical abilities, medical conditions, or is found in any way otherwise unfit for the rigors of their chosen activity or use of our rental equipment, there will be no refund.

Participants under the age of 18 must have a parent or legal guardian present at time of booking and must have a waiver signed by a parent or legal guardian prior to participation. Woods & Waters reserves the right to deny participation to any minor whose parent or guardian is not present or has not provided written consent.

Woods & Waters reserves the right to deny participation or terminate a rental at any time to any person who appears to be under the influence of alcohol or any impairing substance. In such cases, no refund will be issued.
ACKNOWLEDGMENT OF RISK AND WAIVER
Risk management is always our utmost concern, therefore participants will be made aware that there are risks associated with recreational activities or use of rental equipment. Due to the nature of the activities or activities done with rented equipment, everyone is required to sign an acknowledgment of risk/waiver before undertaking the activity or use of rental equipment. Anyone who refuses to sign the form will not be allowed to participate or rent, and consistent with Woods & Waters cancellation policy, there will be no refund of fees at that time.
STORAGE OF PERSONAL AND FINANCIAL INFORMATION
Due to the nature of our product, it is necessary to collect and store a certain amount of personal information in order to complete your reservation. By using our reservation system, you consent to the storage of this information for a period of time deemed appropriate by Woods & Waters. Personal information may include, but is not limited to, your first and last name, phone number, email address, and billing address. Woods & Waters is not collecting any financial data beyond basic transaction data of date, time, payment method, and payment amount.
PRIVACY POLICY
Woods & Waters occasionally sends out an e-newsletter, but we will never sell or share your email address with any third party company and you can unsubscribe at any time. Additionally, all address, personal and financial information is strictly protected.
VENDOR RESPONSIBILITY
Woods & Waters acts only in the capacity of agent for the participants in all matters, including those related to transportation and/or all other related travel services, and assume no responsibility however caused for injury, loss or damage to person or property in connection with any service or activity, including but not limited to that resulting directly or indirectly from acts of God, detention, annoyance, delays and expenses arising from quarantine, illness, injury, pandemics, evacuations, strikes, theft, pilferage, force majeure, failure of any means of conveyance to arrive or depart as scheduled, civil disturbances, government restrictions or regulations, and discrepancies or changes over which it has no control. Reasonable changes may be made where deemed advisable for the comfort and well being of the participants, including cancellation due to weather, insufficient bookings, unavailable resources, and other factors.

On paying for a booking/reservation, the payer agrees
to be bound by the above recited terms and conditions
for themselves and all members of their party.
